Warehouse users run inventory counts by scanning items at a location in the VisionScan app. The counted quantities are written to a physical inventory journal in Business Central, which a back-office user reviews and posts to adjust inventory. Each counted line records who scanned it and when, so you can trace every count back to a user and time.

Turn on Show Inventory Counting for each user who runs counts, and turn on Show Inventory on the VisionScan Setup page to display the calculated inventory next to each line during counting. To learn more, go to Setting up VisionScan and Enabling app users.

The counting flow

  1. In the app, the user opens the counting area and picks the location to count.
  2. The user scans each item physically present and enters the counted quantity. With Show Inventory on, the calculated inventory shows next to each line for reference.
  3. On save, the website writes the counted quantities to a physical inventory journal in Business Central.
  4. A back-office user reviews and posts the journal to adjust the inventory.

Review the counted lines

Open the Phys. Inventory Journal to review the lines the app created before posting. VisionScan adds two fields to each line:

Field Description
Scanned date/time The date and time the count was made in the app.
Scanned by User The user who made the count in the app.

Bin codes on entries

When a scan records a bin, VisionScan stores the bin on the resulting Item Ledger Entry. Open Item Ledger Entries to see the Bin Code field next to the location, so you can trace where a counted or moved item was registered.
